We are seeking a detail‑oriented Sales Administrator to join our Sales and Marketing team. This role is responsible for assisting clients with product and service inquiries, managing sales tickets, preparing accurate quotes, and ensuring smooth sales administration. You will play a key role in delivering an excellent customer experience, supporting account managers, and maintaining accurate client information and documentation.
Key ResponsibilitiesClient Contact
- Assist clients with general product and service inquiries.
- Support prospective clients with information and escalate to Sales Manager/BD Manager as needed.
- Document client requirements (e.g., delivery & installation) for internal reference post‑sale.
Sales Board & Ticket Management
- Monitor the Sales email mailbox via the Sales Service Board.
- Action requests from the Sales, Account Management, and Renewals queues promptly.
- Create PSA opportunities and assign activities to Account Managers.
- Escalate service‑related tickets to the Service Desk without delay.
Quoting & Proposal Support
- Complete and deliver quotes within SLA using the defined product catalogue.
- Ensure quotes are accurate, meet margin requirements, and gain approvals for values above $10,000.
- Review approved opportunities to ensure consistency between quotes and sales orders.
- Support proposal development for larger projects by compiling details from Account Managers and Engineers.
Quoting Tool Administration
- Act as the primary user of the quoting tool, providing training and guidance to team members.
- Maintain product catalogue accuracy, reduce duplication, and escalate issues to the vendor if required.
- Suggest process improvements to enhance efficiency in the quoting process.
Contact & Documentation Management
- Keep client records updated, including contact details, roles, and company information.
- Maintain accurate documentation of client infrastructure and requirements.
- Document sales administration procedures for knowledge transfer and coverage during absences.
General Support
- Assist Account Managers with administrative tasks beyond quoting.
- Perform ad hoc duties as assigned.
- Adhere to company policies at all times.
- SLA Quote Response: within 1 hour.
- Sales Quote Turnaround: within 1 business day.
- Quote Margin Compliance: 100%.
- 2–4 years of experience in sales administration, customer support, or related roles.
- Strong proficiency in CRM systems, quoting tools, and Microsoft/Google Workspace.
- Excellent written and verbal communication skills, with high attention to detail.
- Ability to manage multiple tasks, prioritize effectively, and meet tight deadlines.
- Comfortable working in a structured process environment with defined SLAs.
