Job Overview:
We are looking for a proactive and detail-oriented Sales Support Specialist to join our dynamic team. In this role, you will assist the sales team with administrative tasks, order processing, customer communication, and coordination with internal departments to ensure smooth transactions. The ideal candidate should have strong organizational skills, excellent communication abilities, and a keen eye for accuracy.
Key Responsibilities:
- Sales Coordination & Administration:
• Support the sales team by preparing sales documents, contracts, and reports.
• Maintain and update customer records, pricing sheets, and sales databases.
• Assist in tracking sales targets and compiling performance reports.
- Order Processing & Logistics Support:
• Process sales orders, ensure proper documentation, and track shipments.
• Coordinate with logistics, finance, and operations teams to ensure timely order fulfilment.
• Communicate order status updates to customers and sales representatives.
- Customer Communication:
• Respond to customer inquiries and provide product or order-related information.
• Act as a liaison between the customer and all different departments
• Assist in resolving order discrepancies, payment issues, or delivery concerns.
- Market & Product Support:
• Assist in market research and competitor analysis to support the sales strategy.
• Prepare presentations and marketing materials for client meetings.
• Support product management by updating price lists, stock levels, and product specifications.
- General Support & Compliance:
• Ensure compliance with company policies, contract terms, and industry regulations.
• Maintain proper documentation for audits and internal reporting.
• Assist in organizing sales meetings, trade shows, and customer visits.
Requirements:
• Bachelor's degree in Business Administration, Marketing, or a related field.
• 5+ years of experience in sales support, customer service, or a related role in the commodity or trading industry.
• Strong proficiency in Microsoft Office (Excel, Word, PowerPoint) and CRM software.
• Excellent communication and interpersonal skills.
• Ability to multitask, work under pressure, and meet deadlines.
• Attention to detail with strong problem-solving skills.
• Good English and Mandarin skills are a must
