We are looking for a highly organized and proactive Personal Assistant. In this role, you will be a key enabler for ensuring smooth administrative processes and you'll manage a range of tasks, from scheduling to communications with efficiency, professionalism, and discretion.
Key Responsibilities :
- Manage the calendars of the user, including scheduling meetings and coordinating appointments.
- Organize and maintain both electronic and physical records and files.
- Arrange travel and accommodations, including preparing detailed itineraries.
- Plan and coordinate meetings, events, and conferences, ensuring all logistical details are handled smoothly.
- Prepare meeting agendas, take minutes, and ensure timely follow-ups on action items.
- Oversee office supplies and manage budgets related to administrative expenses.
- Ensure the office environment remains organized, professional, and efficient.
- Assist with personal matters or errands, when required.
- Perform other ad-hoc duties as assigned.
Requirements :
- A university degree; secretarial or executive assistant qualification is preferred.
- Minimum 3 years experiences in the same field
- Excellent communication skills in English, both verbal and written.
- High attention to detail and strong problem-solving abilities.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Flexibility, adaptability, and a strong sense of urgency.
- Proven experience in handling confidential information with professionalism and discretion.
- Strong organizational and analytical skills; capable of multitasking effectively.
