Personal Assistant to Founders (Hybrid – West Surabaya)

About the Role
We're looking for a highly organized and proactive Personal Assistant to support the founders with daily operations, coordination, and execution of various business and personal tasks. This is a hybrid role (a mix of remote work and on-site presence in West Surabaya when needed). You'll work directly with the founders and play a key role in keeping things running smoothly across multiple projects and businesses.
Key Responsibilities
- Manage founders' calendars, schedule meetings, and coordinate travel and logistics
- Prepare meeting notes, follow up on action items, and maintain clear documentation
- Handle confidential information with discretion and professionalism
- Assist in personal errands and ad-hoc requests as needed
- Support communication with partners, clients, and internal teams
- Coordinate project timelines, reminders, and deliverables
- Help organize digital files, databases, and reporting templates
- Assist in research, presentation, and document preparation (Google Docs, Sheets, Slides)
- Liaise with vendors, service providers, and event coordinators
- Ensure daily priorities are tracked and deadlines are met
Requirements
- Based in Surabaya (preferably West Surabaya)
- Excellent communication and organizational skills
- Fluent in English and Bahasa Indonesia
- Proficient with Google Workspace (Docs, Sheets, Calendar, Drive)
- Detail-oriented, disciplined, and comfortable with fast-paced environments
- Ability to handle confidential matters with maturity and discretion
- Flexible schedule and willingness to work on-site when required
- Prior experience assisting founders or executives is a plus
