Job Descriptions:

  • Handling Communications: Be the first point of contact for callers, manage emails, and handle phone calls. Pass on messages or highlight them for the manager's attention.
  • Administrative Responsibilities: Manage diaries, organize meetings, handle appointments, and control access to the manager.
  • Task Reminders: Remind the manager of important tasks and deadlines.
  • Travel and Event Coordination: Book and arrange travel, transport, and accommodation. Organize events and conferences.
  • Document Management: Type, compile, and prepare reports, presentations, and correspondence. Manage databases and filing systems.
  • Process Implementation: Implement and maintain administrative procedures and systems.
  • Effective Communication: Liaise with staff from different departments, suppliers, clients, and business partners.
  • HR Support: Arrange candidates for interview sessions and handle basic HR activities.
  • Expense Management: Collate and file expenses.
  • Field Support: Travel outstation to support manager's business activities, operations, meetings, and events.

Job Requirements:

  • Diploma, Secretarial, Business Administration, office management or equivalent field.
  • Minimum 4 years of experience as Secretary, Personal Assistant or similar role.
  • Excellent communication and interpersonal skills, both verbal and written in English and Bahasa.
  • Detail-oriented, strong organizational and time management.
  • Ability to prioritize tasks and work effectively in a fast-paced environment.
  • Discretion and the ability to handle confidential information with utmost care.
  • Presentable, multi –tasking, energetic and ability to schedule priorities efficiently.
