Job Descriptions:
- Handling Communications: Be the first point of contact for callers, manage emails, and handle phone calls. Pass on messages or highlight them for the manager's attention.
- Administrative Responsibilities: Manage diaries, organize meetings, handle appointments, and control access to the manager.
- Task Reminders: Remind the manager of important tasks and deadlines.
- Travel and Event Coordination: Book and arrange travel, transport, and accommodation. Organize events and conferences.
- Document Management: Type, compile, and prepare reports, presentations, and correspondence. Manage databases and filing systems.
- Process Implementation: Implement and maintain administrative procedures and systems.
- Effective Communication: Liaise with staff from different departments, suppliers, clients, and business partners.
- HR Support: Arrange candidates for interview sessions and handle basic HR activities.
- Expense Management: Collate and file expenses.
- Field Support: Travel outstation to support manager's business activities, operations, meetings, and events.
Job Requirements:
- Diploma, Secretarial, Business Administration, office management or equivalent field.
- Minimum 4 years of experience as Secretary, Personal Assistant or similar role.
- Excellent communication and interpersonal skills, both verbal and written in English and Bahasa.
- Detail-oriented, strong organizational and time management.
- Ability to prioritize tasks and work effectively in a fast-paced environment.
- Discretion and the ability to handle confidential information with utmost care.
- Presentable, multi –tasking, energetic and ability to schedule priorities efficiently.
