JOB DESCRIBTION :

An Accounting Information System (AIS) Specialist is responsible for managing and overseeing the technology and software used in accounting operations. The primary role is to manage and improve the systems that handle financial data, ensuring accuracy, efficiency, and security. This involves applying accounting knowledge, technical expertise, and problem-solving skills to various aspects of financial information management.

Roles and Responsibilities:

System Design and Implementation:

· Customize and Implement: AIS specialists design, configure, implement, and maintain accounting software and systems, ensuring they meet the specific needs of the organization.

· Integration: Ensure that the AIS integrates effectively with other business systems (E.g. enterprise resources planning/ERP, customer relationship management/CRM, sales force, etc).

Data Management and Reporting

· Data Integrity: Ensure that financial data is accurately stored, processed, and reported. This includes tasks like data entry, and data validation, and data storage.

· Financial Reports: Design and maintain reports for financial analysis, audits, and performance assessments.

Security and Compliance

· Data Security: Safeguard sensitive financial data by implementing security measures (e.g., encryption, backups).

· Compliance: Ensure AIS complies with relevant financial regulations (e.g., PSAK, GAAP, IFRS, Sarbanes-Oxley Act).

System Maintenance and Troubleshooting

· Regular Maintenance: Oversee routine maintenance of AIS software, ensuring software updates, patches, and backups are regularly completed.

· Problem Solving: Troubleshoot system errors, data discrepancies, and technical issues that arise in the AIS.

Training and Support

· User Training: Provide training to employees on how to use AIS efficiently and effectively.

· End-User Support: Offer ongoing support to staff who use the system for daily operations.

Process Improvement

· Analyse Processes: Evaluate current accounting processes and recommend improvements based on technology.

· Efficiency Optimization: Identify opportunities to automate tasks and improve efficiency using AIS tools.

System Documentation

· Maintain Documentation: Document system configurations, operational procedures, and troubleshooting guides.

Collaboration

· Cross-department Communication: Work closely with the IT department to ensure system infrastructure is aligned with accounting needs.

· External Party: Coordinate with external party (eg. Developers etc) related to the AIS

· Support Financial Audits: Collaborate with auditors to ensure that the AIS supports the audit process.

Staying Updated

· keep abreast of the latest developments in accounting technology and best practices, ensuring the organization benefits from advancements.

Key Skills and Qualifications

Educational Background:

·       A degree in Accounting, Information Systems, Computer Science, or a related field is typically required.

·       Certifications like Certified Information Systems Auditor (CISA) or Certified Public Accountant (CPA) can be a plus.

Technical Skills:

·       Accounting Software Knowledge: Familiarity with major accounting software (e.g., QuickBooks, SAP, Oracle Financials, Microsoft Dynamics).

·       Database Management: Proficiency in databases (e.g., SQL, MySQL).

·       System Integration: Experience with integrating accounting systems with other business systems.

·       Cybersecurity Awareness: Knowledge of security protocols and data protection standards.

·       Analytical and Problem-Solving Skills: Ability to analyse large data sets and identify inconsistencies or errors in accounting records.

·       Critical thinking to troubleshoot system problems and improve processes.

Attention to Detail and Accuracy:

·       Strong focus on maintaining accurate financial records and ensuring data integrity.

Communication Skills:

·       Ability to communicate complex technical concepts to non-technical users.

·       Experience in training and supporting users.
