Role Purpose

Chief of Staff (CoS) is the strategic right-hand to the CEO and EVLA leadership—driving clarity, alignment, and execution across a multi-country, multi-venture portfolio. The CoS converts strategy into an operating rhythm, keeps priorities unblocked, and ensures decisions lead to measurable progress.

Location: Jakarta (hybrid). Travel: ~10–30% across Indonesia, Singapore, Malaysia, and India. Reports to: CEO, Eagle Venture Studio Asia (EVSA).

Key Responsibilities

A. Strategic Planning & Alignment

  • Translate vision, OKRs, and strategic priorities into quarterly/monthly operating plans with owners and timelines.
  • Orchestrate strategy reviews, board updates, and investor communications.
  • Maintain a portfolio-wide view to surface dependencies, risks, and bottlenecks early.
  • Drive cross-country coordination to ensure regional consistency and knowledge sharing.

B. Operational Excellence

  • Run EVLA's operating cadence: weekly leadership, monthly portfolio reviews, and quarterly business reviews.
  • Ensure each portfolio company has clear milestones, KPIs/OKRs, and accountability frameworks.
  • Build lightweight reporting systems that track venture performance, revenue, funding progress, and team productivity.
  • Lead special projects (e.g., fundraising readiness, partnership integrations, new venture launches).

C. People & Culture

  • Partner on org design, role definition, and critical hires for new ventures.
  • Champion EVLA's values, communication standards, and feedback culture across markets.
  • Coordinate leadership development, team offsites, and portfolio-wide performance cycles.

D. Communication & Decision Support

  • Serve as a sounding board and, when needed, a proxy for the CEO in internal/partner meetings.
  • Prepare briefings, strategy memos, and decks for leadership and board communications.
  • Maintain decision logs and ensure crisp follow-through on actions and accountabilities.

E. Venture Support & Acceleration

  • Support venture leadership on launch readiness, capital raising, and go-to-market initiatives.
  • Enable shared services (tech, design, marketing, HR) to be leveraged efficiently across ventures.
  • Contribute to opportunity evaluation, market scans, and due diligence.

F. Financial Stewardship & Portfolio Finance Support

  • Monthly Results: Coordinate month-end close checkpoints with portfolio F&A leads; review management accounts, cash positions, AP/AR aging; flag anomalies and risks.
  • Forecasting & Runway: run variance analyses (Actuals vs. Budget/Forecast) and ensure corrective actions are owned and tracked.
  • Controls & Compliance: Support basic financial controls (approval matrices, spend policies, procurement hygiene); ensure timely filings and vendor/payroll hygiene with local providers.
  • Capital Planning: Maintain fundraising trackers, data-room readiness, and option/cap table hygiene in partnership with CFO/CEO.

Key Success Metrics

  • On-time delivery of portfolio milestones and cross-venture initiatives.
  • Leadership satisfaction (quarterly pulse).
  • Coordination velocity: reduced time-to-decision and fewer re-opened issues across ventures.
  • Board readiness: timely, accurate, actionable board/investor materials.
  • Finance quality: timely month-end reporting, forecast accuracy (e.g., ±5–10% vs. actuals), improved cash runway visibility.
  • Culture strength: hiring velocity for priority roles; engagement and feedback scores where available.

Requirements

Must-Haves

  • 5–10+ years in high-ownership roles (Chief of Staff, Strategy/Operations, VC/PE portfolio ops, Management Consulting, or GM/BU Ops in startups).
  • Demonstrated ability to run operating cadences (OKRs, QBRs/MBRs, exec meetings) and to ship cross-functional projects end-to-end.
  • Financial acumen: can read P&L/BS/CF, build/pressure-test forecasts, and drive variance analyses; comfort with cash runway and unit economics.
  • Tools: Advanced Google and Microsoft suite skills
  • Communication: Exceptional written and verbal communication; crisp executive summaries and board-level decks.
  • Languages: English
  • Work model: Jakarta-based (hybrid), willingness to travel 10–30% regionally and flex across time zones.
  • Integrity & discretion: Trusted to handle sensitive investor/board and financial information.

Nice-to-Haves

  • Experience in venture studios, early-stage fundraising, or portfolio value-creation playbooks.
  • Exposure to B2B SaaS or tech-enabled services (helpful for KPI patterns and unit economics).
  • Hands-on with data rooms, cap tables, and option plans (Carta/share registries).
  • Management experience leading small PMO/ops teams or shared services.

Employment Details
