Job Description:
We are looking for an organized, detail-oriented, and motivated Logistics & Administration Staff to join our Supply Chain team. The ideal candidate will be responsible for providing comprehensive operational support for logistics and administration, ensuring document accuracy, and smooth processes from order to delivery, while acting as a key point of contact for customers.
Key Responsibilities:
- Serve as the primary logistics contact for customers, proactively communicating with their Logistics PIC to provide shipment updates, confirm requirements, and ensure all delivery instructions are fully understood and met.
- Coordinate and monitor inbound and outbound shipment processes with freight forwarders, shipping carriers, as well as manage internal company vehicles and drivers.
- Ensure strict compliance with all customer-specific requirements for deliveries to project sites or designated locations, including documentation, schedules, and handling protocols.
- Perform checking and verification of shipping document completeness (Invoice, Packing List, Material Certificate if required) and create Delivery Orders (DO).
- Process administrative documentation for export and import requirements (coordinate with forwarders for Shipping Instructions, Bill of Lading/Airway Bill, Certificate of Origin, etc.)
- Review, match, and process supplier invoices in the company's system for forwarding to the Finance department.
- Perform reconciliation and recording of logistics and administrative costs.
- Coordinate with internal teams (Purchasing, Warehouse, Finance, and Sales) to ensure a smooth order-to-delivery process.
- Track and monitor shipment statuses and provide regular updates to relevant parties.
- File and manage all logistics and administration documents for the supply chain department in a neat and systematic manner.
