Responsibilities- We’re looking for an Executive Productivity Assistant who is highly intelligent, organized, and skilled in strategically managing schedules, optimizing productivity, and enhancing the daily efficiency of prominent influencers and entrepreneurs.
- We are looking for a highly organized, proactive, and trustworthy Executive Productivity Assistant to support both Jess No Limit and Sisca Kohl in managing their personal and professional matters. The ideal candidate will have excellent multitasking abilities, a strong attention to detail, and the ability to maintain confidentiality.
- You will assist with a variety of tasks, ensuring the smooth and efficient operation of their day-to-day lives, from personal errands to professional obligations.
- Manage and organize daily schedules, meetings, and appointments for both professional and personal needs.
- Assist with calendar management for both Jess No Limit and Sisca Kohl, ensuring there are no scheduling conflicts.
- Act as a liaison between executives and internal teams, ensuring smooth communication and workflow.
- Handle administrative tasks such as preparing reports, managing correspondence, and organizing documents.
- Manage and organize travel arrangements, event planning, and client meetings.
- Support the execution of marketing activities, such as managing content schedules, tracking project deadlines, and communicating with agencies.
- Assist with personal tasks, including household management, event planning, and family logistics.
- Prepare presentations and meeting materials for business initiatives and projects.
- Monitor project timelines and ensure timely follow-ups on assigned tasks.
- Coordinate and manage communications, including emails, calls, and messages.
- Perform ad hoc tasks and support requests as needed.
- Bachelor’s degree in Business Administration, Finance, Accounting, Communications, or a related field.
- Minimum 3 years of experience as an Executive Assistant, Personal Assistant, or similar role.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills in English and Bahasa Indonesia.
- Tech-savvy, proficient in using productivity tools like Google Suite, Microsoft Office, and project management software (e.g., Trello, Asana).
- Ability to handle sensitive and confidential information with discretion.
- Flexible and adaptable to changing priorities and tasks.
- Experience with event planning, scheduling, or travel arrangements is a plus.
- Proactive, detail-oriented, and capable of multitasking in a fast-paced environment.
- Previous experience working with high-profile individuals or influencers is a plus.
