Position Summary

This is a permanent full-time position within Proforest Indonesia to support the Accounting and Admin team in its activities across the Southeast Asia Region. The role of the Accounting and Admin Assistant is to support and work closely with the Finance and Admin Manager to maintain good financial management and accounting practices in line with Proforest's global requirements.

Responsibilities:

This position will be responsible for the day-to-day transaction processing of the Sales, Purchase and Nominal Ledger as well as the Project module of Accurate Accounting software to ensure the completeness and accuracy of the accounting records.

The more specific tasks are as follows:

  • Ensure accurate and timely customer invoicing and processing supplier invoices.

  • Ensure that Withholding Tax and Value Added Tax codes are correctly generated.

  • Check and process expense claims as well as corporate credit card reconciliations.

  • Provide accounting and clerical support to the Finance Dept.

  • Prepare and maintain accounting documents and records as directed by the Finance Manager.

  • Data entry of various accounting and financial transactions into appropriate databases.

  • Check and prepare cash advances and petty cash claims including maintaining cash book records.

  • Process accounting and journal entries and ensure all transactions have been recorded.

  • Assist the department with any other accounting work as directed by the Finance & Admin Manager.

  • Undertake some general administration including proper handling statutory and tax documentation and filling.

  • Manage day-to-day office operations (pantry needs, office supplies, and office operations).

  • Collaborate with cross-functional teams to coordinate and execute logistics for various projects within Southeast Asia.

  • Other administration related duties as assigned by the Finance & Admin Manager.

Essential:

  • Familiarity with basic bookkeeping and accounting procedures.
  • Demonstrable basic MS Excel skills, experience with spreadsheets and basic financial reports.
  • Accuracy, aptitude for numbers and attention to detail.
  • Able to demonstrate initiative and flexibility.
  • Motivated team player with good interpersonal skills and strong desire to support the team in meeting organisational objectives.
  • Good planning, time management and organizational skills.
  • Ability to resolve basic accounting problems and queries quickly and efficiently.
  • Good written and verbal communication skills in English and Bahasa Indonesia.
  • Competency in basic MS Word and Powerpoint.

Preferred:

  • One to two years of general accounting or bookkeeping experience (Accounts Receivable, Accounts Payable, General Ledger etc.)
  • A minimum of a Diploma in Accounting, Business Management, or a related field is preferred. However, fresh graduates with strong academic backgrounds and relevant coursework will also be considered.
  • Competency in databases and using Accurate accounting software.
