Personal Assistant—Bilingual/Trilingual (English–Bahasa and/or Chinese)

Location: South/Central Jakarta
Employment: Full-time
Compensation:

  • Bilingual: IDR 15–18M/month
  • Trilingual: IDR 17–20M/month
  • Placement within the range depends on competence, experience, and interview performance; exceptional candidates may exceed the posted range.

About the Role

We are hiring 2–4 Personal Assistants to support a leadership team working across art, real estate, and industrial projects. You will be the operational anchor who keeps plans moving. The right person is a clear communicator, a proactive and efficient problem solver, and comfortable with structured process—able to anticipate needs, surface risks early, and follow through to completion.

You will:

  • Run calendars & travel — Orchestrate multi‑city schedules; book flights/hotels/ground; prepare itineraries and 48‑hour confirmations.
  • Coordinate vendors & logistics — Liaise with shippers, framers, venues, and suppliers; track SLAs; escalate risks early.
  • Liaise internally — Work with gallery teams, warehouse/logistics, finance, and project leads; capture action items and drive follow‑through.
  • Draft & report — Write crisp emails, meeting notes, trip reports, and weekly ops checklists; maintain tidy trackers.
  • Research & compare — Source options and present short tables (price, SLA, pros/cons, contacts, recommendation).
  • Interpret/translate — Provide ad‑hoc interpreting (English–Bahasa or English–Chinese; all three where applicable) and light written translation.
  • Ad‑hoc operational support — Whatever helps to unblock progress in a business context (on‑site arrangements, supplier chasing, document runs).
  • Travel — Occasional international travel when required (e.g., Singapore/China).
Requirements

These are soft requirements. If you meet most of the criteria and can demonstrate strong writing, organization, and problem‑solving, we encourage you to apply. Equivalent experience can substitute for formal credentials.

  • Languages: Bilingual required (English + Bahasa or English + Chinese). Trilingual (English + Bahasa + Chinese) preferred. Exceptional Bahasa + Chinese candidates may also be considered.
  • Experience: 0–3 years preferred in PA/EA/ops, client service, logistics, hospitality/events, budgeting/financial, or similar. Up to 4–6 years welcomed if scope/comp fit; exceptional seniors may be considered for expanded scope.
  • Education: Bachelor's degree (any major) or equivalent experience; Business/Communications/Logistics/Languages a plus.
  • Tools: Google Workspace / MS Office (Calendar/Sheets/Docs/Slides), WhatsApp/WeChat; comfortable with simple spreadsheets and checklists. Familiarity with CRM programmes is a plus.
  • Traits: Reliable, organized, discreet, curious, calm under pressure; clear written communication; ownership mindset.
  • Right to Work: Legally permitted to work in Indonesia; able to travel internationally (passport validity 12+ months).
  • Language versatility: Able to interpret in meetings and translate short documents.
  • Optional language qualifications: Please include language certificates if available— English: IELTS or TOEFL; Bahasa Indonesia: UKBI or BIPA; Chinese: HSK or HSKK. Other recognized tests are also welcome.
Working Hours & Travel
  • Core hours: Monday–Friday, 9:00–18:00 WIB, with flexibility for peaks/events.
  • Travel: Average 4-5 days/month; peaks around fairs/events. Quieter months outside event cycles. The company covers visas, insurance, flights, accommodations, and local transport.
  • Flexing for peaks: From time to time, events/travel may require early/late coordination; comp time will be provided for over‑long days.
