We are seeking a highly organized and proactive person to support our growing team in Jakarta. This role is crucial to keeping our daily operations smooth and efficient across administrative, operational, financial, and legal tasks.
You will work independently, liaising with multiple internal stakeholders and external vendors, and be a key part of building scalable operations as the project grows.
Responsibilities:· Manage daily office operations including reimbursements, approvals, calendar coordination, and procurement
· Oversee logistics such as supplies, subscriptions, petty cash, and transport for meetings or business trips
· Handle vendor sourcing and coordination, including NDAs and related admin work
· Maintain organized filing systems and support employee onboarding/offboarding
· Assist with basic internal coordination such as documentation, meeting arrangements, and team event planning
· Support finance operations including invoice creation, payment processes, and simple financial recordkeeping
· Assist with legal operations such as contract drafting, stamping, and handling signature workflows
· Maintain company licenses and compliance-related documentation
· Use Microsoft Excel to track cash flow and maintain simplified financial statements
Qualifications:· –3 years of experience in office administration, operations, or related roles
· Fluent in Mandarin and Bahasa Indonesia (spoken and written), with a good command of English
· Proactive and self-driven, with the ability to identify and address operational needs or gaps independently
· Strong organizational skills, attention to detail, and ability to manage multiple responsibilities effectively
· Proficient in Microsoft Office tools, especially Excel
