Position Title : General Affairs (GA) Officer

Job Summary :

To support the smooth operation of the company by managing administration, facilities, assets, and general services in accordance with company policies and procedures, ensuring daily work activities run efficiently and effectively.

Key Responsibilities :

General Roles & Responsibilities

Administration & Documentation

  • Handle incoming/outgoing letters, memos, and internal documents.
  • Maintain and update GA archives (contracts, permits, agreements, supporting documents).
  • Keep filing systems (physical and digital) organized and accessible.
  • Assist in the preparation, submission, and settlement of cash advance for operational and administrative activities, ensuring timely and accurate documentation in accordance with company policies.

Asset & Inventory Management

  • Assist in recording, labeling, and monitoring company assets.
  • Conduct periodic stock-taking for office supplies and assets.
  • Coordinate office stationery needs and ensure availability.
  • Report inventory discrepancies and propose follow-up actions.

Office Facilities & Support

  • Assist in routine checking of office facilities (cleanliness, electricity, office equipment).
  • Follow up repair requests with vendors or building management.
  • Ensure meeting rooms and common areas are always ready for use.
  • Provide logistical support for meetings, company events, and employee activities.

Driver & Vehicle Management

  • Assist in scheduling and coordinating company drivers for operational needs.
  • Monitor driver attendance, performance, and daily assignments.
  • Support the monitoring of company vehicles' usage, maintenance, and readiness.
  • Assist in preparing and controlling driver-related expenses and vehicle operational costs (fuel, tolls, parking, maintenance).

Vendor & Service Coordination

  • Support coordination with vendors (cleaning, office supplies, maintenance, transportation, etc.).
  • Monitor vendor services and report issues to Supervisor/Manager.
  • Manage vendor-related documents (contracts, invoices, delivery notes).

Minimum Qualifications: Requirements :

  • Bachelor's Degree (preferably in Administration, Management, or related field).
  • Minimum 1 year of experience in General Affairs, Administration, or related field.
  • Good knowledge of office administration, cash advance settlement, and asset inventory.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Communicative, detail-oriented, and able to work in a team.
  • Able to manage administrative financial documentation accurately and in compliance with company procedures.
  • Willing to learn and adapt quickly.
