Key Responsibilities
- Identify improvement opportunities and implement automation or digital tools to streamline GA workflows (business trip, vendor management, facility maintenance, etc.).
- Collaborate with relevant stakeholders to develop integrated dashboards and digital solutions (e.g., travel dashboards, asset tracking, inventory systems).
- Monitor and report on automation project milestones and ensure measurable impact.
- Conduct periodic audits of all office facilities to ensure readiness, safety, and comfort for employees and guests.
- Ensure timely maintenance and issue resolution through coordination with building management or vendors.
- Monitor and evaluate vendor service levels (cleaning, building maintenance, vehicle management, etc.).
- Oversee operational schedules and performance of outsourced GA support (cleaning service and driver).
- Maintain accurate business trip data, track expenses, and ensure proper approval workflows.
- Develop reporting dashboards to visualize GA performance metrics (e.g., cost efficiency, response time, vendor SLAs).
- Ensure GA operations comply with internal policies, audit requirements, and safety standards.
- Maintain updated documentation (SOPs, vendor records, contracts, and inventory lists).
- Gather feedback from internal users to refine GA services and propose improvement initiatives.
Required Qualifications
- Bachelor’s Degree in Business Administration, Management, or related field.
- 5+ years of experience in General Affairs, Facility Management, or Office Operations.
- Proven experience leading process improvement or automation initiatives in office administration.
- Strong data and analytical skills (Excel/Spreadsheet, other data management tools).
- Familiarity with vendor management, budgeting, and facility maintenance systems.
- Excellent coordination, communication, and stakeholder management skills.
- Proactive, structured, and highly organized in managing multiple priorities.
