Assistant Building Management
Support building manager in daily operational, administrative, and maintenance management to ensure both buildings operate safely, efficiently, and meet tenant satisfaction.
Position: Assistant Building Management
Reporting to: Building Manager / Property Manager
- Key Responsibilities
A. Operational Support
• Supervise daily building operations (cleaning, security, parking, landscape, and maintenance).
• Conduct regular inspections of common areas, utilities, and building systems.
• Coordinate with technicians for repair or preventive maintenance works.
• Monitor service contractors (cleaning, pest control, security, elevator, etc).
• Assist in managing energy, water, and waste consumption efficiently.
B. Administrative Duties
• Maintain records for maintenance, permits, inspection reports, and tenant requests.
• Prepare daily, weekly, and monthly reports on building operations.
• Handle budgeting
• Support procurement process for materials, spare parts, and vendors.
C. Tenant Relations
• Respond to tenant complaints or requests promptly and courteously.
• Keep communication log of tenant issues and resolutions.
• Assist with move-in and move-out procedures.
• Help organize community or safety events within the building.
D. Safety & Compliance
• Ensure all systems (fire alarm, pump, generator, elevator) are inspected regularly.
• Monitor compliance with safety, health, and building regulations.
• Support emergency response readiness (evacuation plans, drills, etc).
- Qualifications
Education:
• Minimum Diploma (D3) in Building Management, Engineering, Architecture, or related field.
• Bachelor's Degree preferred.
Experience:
• Minimum 3-5 years in building management, facility management, or property operation (especially office)
• Experience handling both low-rise and mid-rise buildings is an advantage.
Technical Skills:
• Basic understanding of MEP systems (Mechanical, Electrical, Plumbing).
• Knowledge of building safety systems (fire protection, security).
• Familiar with maintenance scheduling and vendor coordination.
• Proficient in MS Office (Excel, Word, Email).
• Ability to read basic floor plans or technical drawings (preferred).

• Strong communication and interpersonal skills.
• Detail-oriented, organized, and proactive.
• Able to handle multiple tasks and prioritize efficiently.
• Customer service mindset.
• Willing to work flexible hours or on-call during emergencies.

• Coordinates with: Chief Engineer, Security & Housekeeping Supervisors, Technicians (Mechanical, Electrical, Civil), Tenants & Vendors, Finance / Admin (for billing, payments)
