We are a well-established international company with over 21 years of global presence and 11 years of operations in Jakarta, specializing in high-end building materials.
We are currently seeking a Mandarin Speaking Sales Support & Administration Executive to provide comprehensive support in both Sales Administration, HR/Office Management and/or General Affair functions.
Fluency in Mandarin (speaking, reading, and writing) is essential, as the role requires frequent communication with Mandarin-speaking clients, partners, and internal management. Strong English communication skills are also required for coordination with international teams.
ResponsibilitiesSales Administration
- Handle and monitor sales orders, purchase orders (PO), and related documentation to ensure accuracy and timely delivery.
- Prepare quotations, invoices, and contracts, and coordinate with internal teams to ensure smooth sales operations.
- Maintain and update customer databases, order tracking sheets, and sales performance reports.
- Communicate with clients and suppliers (Mandarin & English) for order follow-up and document clarification.
- Collaborate with warehouse, logistics, and finance teams to ensure correct and efficient execution of transactions.
- Provide administrative support for business meetings, sales documentation, and report preparation.
HR & Office Administration
- Support recruitment processes, including candidate screening, interview scheduling, and onboarding documentation.
- Maintain employee data, attendance records, and HR filing systems.
- Coordinate general office administration and internal staff communication to ensure daily operational efficiency.
- Prepare HR-related reports and assist management in implementing HR policies and staff evaluations.
- Support internal activities such as staff engagement, office maintenance, and HR compliance tracking.
- Minimum Bachelor's degree in Administration, Human Resources, Marketing, or a related field, with good academic performance (GPA).
- Fluent in Mandarin (speaking, reading, writing) and English is a must.
- Minimum 3 years of relevant experience in sales administration, HR, or business support roles — preferably within the building materials industry or a China-based company.
- Candidates with related working experience or similar position will be given strong preference.
- Excellent coordination, documentation, and communication skills.
- Detail-oriented, organized, and able to manage multiple priorities independently.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint) and Canva Presentation.
- Positive and professional personality with strong teamwork and adaptability.
- Preferably residing near office area and/or have personal transportation.
