Personal Assistant to Project Manager (Mandarin speaking only)
The Personal Assistant (PA) provides high-level Project & Task management, Communication & Liaison, and Administration to ensure the Manager's schedules & tasks operate efficiently and effectively. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast‑paced environment.
Occasional visit to Project Site especially in the first few months are required to familiarize PA with working environment, understand business nature, apply concept "Learn while working", enable PA to have big picture of his/ her role.
As we work on project basis, 7/24 stand‑by is required depending on project needs.
Project & Task Management- Assist in tracking and coordinating strategic projects led by Project Manager
- Provide Quotation and prepare report
- Monitor deadlines and ensure deliverables are met on time
- Serve as the first point of contact for the Project Manager
- Build and maintain effective relationships with staff, clients, and partners
- Screen and prioritize incoming requests, ensuring appropriate follow‑up and delegation
- Handle confidential correspondence, emails, and phone calls on behalf of the Manager
- Draft and edit documents, reports
- Anticipate the needs and proactively manage workflow and priorities
- Coordinate communication between the Project Manager, Internal Teams, and external parties
- Maintain organized filing systems (mostly digital)
- Support the preparation and coordination of meetings, conferences, and events
- Manage office supplies and ensure smooth daily operations
Essential:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role
- Excellent written and verbal communication skills
- Strong organization and time‑management abilities
- High level of discretion, confidentiality, and professionalism
- Proficiency in Microsoft Office Suite and/or Google Workspace
- Ability to multitask and work under pressure
Desirable:
- Experience supporting senior executive
- Any level of education is welcomed
