Position Summary:
The Academic Authorization Project Staff will support the school's academic authorization and accreditation process — including the International Baccalaureate (IB) authorization project — by providing administrative, logistical, and project coordination assistance. This role ensures that all required documentation, communication, and reporting are completed accurately, on time, and in alignment with institutional and IB standards.
Key Responsibilities:
- Administrative Coordination
- Maintain and organize all project-related documents, forms, and correspondence for IB authorization and other accreditation requirements.
- Assist in the preparation and submission of required IB forms, reports, and supporting evidence.
- Maintain accurate filing systems (both physical and digital) for ease of access and compliance audits.
- Project Support and Tracking
- Support the project leader in monitoring timelines, deliverables, and milestones of the IB authorization process.
- Update project trackers, follow up on pending tasks, and ensure timely progress reporting.
- Assist in scheduling and organizing internal meetings, workshops, and IB-related visits.
- Communication and Liaison
- Serve as an administrative liaison between the school, the IB organization, and other external stakeholders.
- Draft and proofread official communication (letters, memos, reports) related to IB authorization and compliance.
- Coordinate with teachers, coordinators, and leadership for document collection and verification.
- Logistical and Operational Support
- Support logistical arrangements for IB authorization visits, training sessions, and related events.
- Ensure all meeting materials, presentations, and reports are properly prepared and distributed.
- Manage scheduling and documentation for visits by IB representatives.
- Quality Assurance and Reporting
- Review all documents for completeness and consistency with IB and school authorization standards.
- Prepare periodic progress summaries and status updates for leadership review.Ensure confidentiality and professionalism in handling school and IB project documents.
Qualifications and Competencies:
- Proven experience in project management or academic administration (preferably in schools or universities).
- Strong organizational and time-management skills, with the ability to meet strict deadlines.
- Excellent written and verbal communication skills in English.
- High attention to detail and ability to maintain data accuracy.
- Proficient in Microsoft Office, Google Workspace, and AI-based productivity tools (e.g., ChatGPT, Notion AI, or equivalent).
- Demonstrated ability to leverage digital tools for documentation, tracking, and reporting efficiency.
- Collaborative, proactive, and able to work independently when needed.
