Job Description:

We are seeking a dedicated, proactive, and highly organized Personal Assistant (PA) to directly support the Director/Deputy Director in managing their professional and personal daily activities.

The successful PA will act as an efficient gatekeeper and the main liaison for senior management, ensuring smooth operational flow and communication.

Key Responsibilities:

Manage the Director/Deputy Director's comprehensive daily schedule, calendar, and appointments.

Arrange all business travel logistics (booking tickets, accommodation, visas, and other travel details).

Screen and prioritize communications (calls, emails, correspondence) and ensure critical messages are followed up.

Prepare presentation materials, reports, and other confidential documents.

Accompany the Director/Deputy Director to meetings, take minutes, and ensure all follow-up actions are executed.

Manage and archive office documents and correspondence.

Handle ad-hoc personal tasks for the Director/Deputy Director as needed.

Mandatory Qualifications:

Gender: Female

Maximum Age: 40 years old at the time of application.

Language Skills: Must be fluent (both oral and written) in English and Mandarin (ability to communicate with native speakers is highly preferred, proven by certifications/experience).

Minimum education D3/S1 from a reputable university, preferably in Secretarial Studies, Communications, or a related field.

Minimum 3-5 years of experience as a Personal Assistant, Executive Assistant, or Secretary to the Board of Directors.

Proficiency in using Microsoft Office applications (Word, Excel, PowerPoint).

Possesses high integrity, professionalism, and the ability to maintain confidentiality.

Strong multitasking skills and proven ability to work under pressure with tight deadlines.
