Job Qualification
The Tenant Relations Manager plays a key role in ensuring an exceptional tenant experience and in maintaining strong relationships among tenants, property owners, and management. This position focuses on effective communication, operational coordination, and delivering superior service standards to foster tenant satisfaction and long-term partnerships.
1. Communication & Relationship Management
- Serve as the primary liaison between tenants and property management.
- Conduct regular visits to tenants and provide general building or operational updates.
- Establish and maintain professional, long-term relationships with tenant representatives.
- Communicate announcements, policies, and changes promptly and clearly.
2. Tenant Support & Conflict Resolution
- Address and resolve tenant complaints and issues with professionalism and empathy.
- Mediate conflicts to ensure fair and timely outcomes while maintaining positive relationships.
3. Maintenance & Operations Coordination
- Manage tenant maintenance requests and ensure repairs are completed efficiently.
- Coordinate with relevant departments to minimize disruption during renovations or service work.
- Support tenant fit-out processes, mobilization, and business commencement.
- Oversee handover and takeover of premises during lease commencement and expiry.
4. Tenant Engagement & Experience
- Plan and execute tenant engagement activities, appreciation events, and community-building programs.
- Conduct satisfaction surveys and follow up on feedback for continuous improvement.
- Coordinate festive decorations and hamper distributions for major celebrations (e.g., Chinese New Year, Lebaran, Christmas).
- Promote awareness of environmental sustainability and safety among tenants and visitors.
5. Concierge & Frontline Service Supervision
- Oversee the scheduling, grooming, and performance of the Concierge team.
- Ensure all concierge staff maintain professional appearance and service excellence.
- Manage uniform laundry, lobby inspections, and overall service presentation.
- Ensure floral arrangements (e.g., orchids) in the lobby and common areas are well-maintained.
6. Administration & Compliance
- Collaborate with Marketing, Project, and Finance teams on tenant-related processes.
- Manage tenant requests (loading/unloading permits, access cards, parking, overtime AC).
- Monitor rent collection, lease compliance, and adherence to building policies.
- Maintain accurate tenant databases and prepare regular reports on tenant relations activities.
Key Skills and Qualifications:
- Education: Minimum Bachelor's degree in Business Administration, Hospitality, or related field.
- Experience: At least 5 years of experience at the Assistant Manager level in property management, tenant relations, or customer experience.
- Language: Strong proficiency in English (spoken and written).
- Communication: Excellent interpersonal and written communication skills with a professional and empathetic approach.
- Customer Service Orientation: Strong sense of hospitality, service excellence, and responsiveness.
- Problem-Solving: Skilled in resolving issues diplomatically and maintaining composure under pressure.
- Regulatory Knowledge: Familiarity with relevant landlord-tenant laws and local property regulations.
- Organizational Skills: Strong multitasking ability and attention to detail.
- Technical Proficiency: Experience with CRM or property management systems and digital communication tools.
- Flexibility: Willingness to work beyond regular hours, including during public holidays or collective leave periods.
